Administrative verification is handled only by the ICSEST-2026 Secretariat. Keynote speakers, invited speakers, reviewers, scientific committee members, facilitators, venue personnel, and other third parties do not manage individual registrations, payments, invitation letters, refunds, or visa-support records and should not be contacted for these matters.
Standard participant documents, such as the applicable invitation letter, invoice, payment receipt, conference information letter, and public conference materials, are provided according to the relevant registration or invitation-support package.
Institutions, employers, sponsors, government authorities, auditors, and other authorized third parties may request additional due-diligence or verification documents. These requests require separate administrative review because source records may contain confidential, contractual, financial, personal, or third-party-protected information.
Approved records may be issued as redacted copies, controlled summaries, watermarked documents, requester-specific letters, or confirmations addressed directly to the requesting institution.

Extended audit, due-diligence, and third-party verification requests are subject to administrative service fees. Estimated processing time is generally one to four weeks, depending on scope, record availability, complexity, workload, and any required third-party consent. Documents are issued only after payment of the applicable invoice. Administrative fees are generally non-refundable once review or preparation has begun. Payment does not guarantee that an original or unrestricted record can be released.

Event schedules, room assignments, insurance, catering, services, stakeholder arrangements, and administrative procedures may be amended, replaced, delayed, or canceled where required by operational circumstances, contractual requirements, law, safety considerations, force majeure, or decisions of independent third parties.
