ICSEST-2026 – Refund & Cancellation Policy

To ensure fairness, academic integrity, and operational stability, ICSEST-2026 follows the refund and cancellation policy below.

1. Scope

This policy governs all registration payments and financial terms related to ICSEST-2026. By completing registration or making payment, participants agree to this policy as a binding agreement with the organizer.

2. Strictly Non-Refundable and Non-Transferable

All registration fees are strictly non-refundable and non-transferable once paid, without exception. This includes, but is not limited to, illness, visa refusal, travel restrictions, personal emergencies, employer decisions, or inability to attend the conference.

3. No Chargebacks or Payment Disputes

Participants agree not to initiate chargebacks, payment reversals, or disputes through banks or payment platforms. Any such action constitutes a material breach of policy and may result in immediate cancellation of registration, removal from the conference program and publication consideration, revocation of invitation letters, blacklisting from future events, and recovery of administrative or legal costs.

4. Substitutions and Attendance Mode

Participant substitutions from the same organization may be considered at the organizer’s discretion and subject to applicable deadlines and administrative conditions. Attendance mode (in-person or online) cannot be changed after registration confirmation.

5. Format Modifications

The organizer reserves the right to modify the conference format (e.g., in-person, hybrid, or online) due to safety, regulatory, or operational reasons. Such modifications do not constitute cancellation and do not entitle participants to refunds or credits.

6. Third-Party Costs

The organizer is not responsible for any third-party expenses, including travel, accommodation, visas, insurance, or related costs. These expenses remain the sole responsibility of the participant and are not refundable.

7. Assumption of Risk and Limitation of Liability

Participants assume all risks related to conference participation and payments. To the fullest extent permitted by law, the organizer’s total liability is limited to zero (USD 0).

8. Blacklisting and Disclosure

Participants who violate payment terms, initiate disputes, or engage in misconduct may be blacklisted from ICSEST events. Limited participant information may be disclosed to relevant institutions or partners for compliance and fraud-prevention purposes, where legally permitted.

9. Legal Basis and Electronic Acceptance

Acceptance of this policy during online registration, invoice requests, or payment processes constitutes a legally binding agreement. Electronic acceptances are valid and enforceable.
