3. Data we collect

We may collect information provided by participants, including name, contact details, affiliation, role, submission metadata, registration details, invoice references, payment confirmations returned by payment processors, and visa-support information where applicable. Technical data such as IP address, device information, logs, and cookies may also be collected. For on-site participation in Canada, limited access or safety information may be collected if required by the venue or applicable law.

4. Use of data

Personal data is used solely for conference operations, including registration, abstract and paper handling, communication, session delivery, certificate issuance, invitation letters, verification services, safety and compliance, legal and accounting obligations, and service improvement. Only minimal attendee information is used for badges or attendance lists where necessary.

5. Data sharing and international transfers

ICSEST-2026 does not sell personal data. Limited information may be shared with trusted service providers supporting conference operations, such as payment processors, submission platforms, communication tools, virtual meeting systems, venues, and publishers. International data transfers may occur where required for conference operations or legal compliance.

6. Data retention

Personal data is retained only for as long as necessary to support conference operations, legal or accounting obligations, and archival records such as program history or publication metadata. Data is deleted or anonymized where feasible.

7. Security and risk

Reasonable technical and organizational measures are applied to protect personal data. However, no system is fully secure. Participation and data submission are at the participant’s own risk. To the maximum extent permitted by law, the organizers are not responsible for unauthorized access, loss, or misuse of data.

The ICSEST-2026 website may use cookies or similar technologies for functionality and analytics. Participants can control cookie settings in their browser. Disabling cookies may limit website functionality.

9. Third-party platforms

10. Media, recordings, and likeness

By attending ICSEST-2026 in Canada or participating online, you consent to the use of your name, image, voice, affiliation, and contributions in photographs, recordings, or broadcasts for operational, archival, educational, and limited promotional purposes, without compensation. Participants who do not consent should avoid recorded areas or disable video and audio during online sessions where possible.

11. Assumption of risk and release

Participants assume all risks associated with conference participation and related data processing. To the fullest extent permitted by law, participants release ICSEST-2026 and REPA LLC from claims arising from participation, except where such release is prohibited by law.

12. Disclaimer of warranties

All conference content, schedules, platforms, and services are provided “as is” and “as available,” without any express or implied warranties.

13. Limitation of liability

To the maximum extent permitted by law, ICSEST-2026, REPA LLC, and their officers, staff, and partners shall not be liable for any damages of any kind. Aggregate liability is limited to USD 0.

14. No endorsement or ethical responsibility

Authors, speakers, sponsors, and participants are solely responsible for their content and conduct. ICSEST-2026 does not endorse and does not assume ethical responsibility for participant statements or third-party actions.

15. Participant rights

Depending on applicable laws, participants may request access to, correction of, or deletion of their personal data, or object to certain processing activities. Requests will be handled in accordance with applicable law and conference operational requirements.

16. Governing law and changes

This policy is governed by the laws of the State of California, USA. The organizers may update this policy by publishing a revised version on the website. Continued participation constitutes acceptance of any updates.
